REQUEST FOR PROPOSAL (RFP) FOR SERVICES (CARIFESTA XV)

The Cultural Development Foundation (CDF) is calling for proposals from experienced and reputable entities and individuals to support Saint Lucia’s participation in CARIFESTA XV. This includes a pre-show event in Saint Lucia with concert elements, as well as support for the main festival in Barbados (August 22-31, 2025). 

 We are seeking proposals for a range of services and personnel to ensure the success of this programme.  Candidates may submit proposals for one or multiple categories based on their expertise and capacity. 

 

Services Required 

We are looking for high-quality, professional services in the following areas: 

 

• Catering Services – diverse high-quality food and beverage services- Social event/buffet catering  

• Sound PA – with Backline High-quality audio and visual setups for activities 

• Décor – creative décor in keeping with themes 

• Tents – Durable, weather-resistant tents for various festival needs 

• Photography – Professional event photography for promotional and archival purposes.  

• Logistics – coordinate all materials, equipment, schedules, and teams to facilitate smooth flow of various events. 

• Videography – Professional video production for promotional and archival purposes.  

• Security – security services, safety of equipment, venue security and crowd management 

 

Personnel Required 

We are also seeking highly skilled and experienced individuals for the following roles: 

• Stage Manager & Stage-management Team – To oversee all aspects of stage operations and ensure smooth production. 

• Sound Engineer – To manage all audio requirements for performances and events. 

• Graphic Artist – To create visual materials for promotion and branding. 

• CARIFESTA Coordinator – To manage and coordinate all aspects of Saint Lucia’s CARIFESTA participation. 

• CARIFESTA Artistic Director – To provide creative leadership and oversee the artistic integrity of the productions. 

 

Guidelines for Submission  

Your proposal must include 

• Business profile and experience 

• References from similar cultural activities 

• Detailed service descriptions and capabilities 

• Pricing structure for requested services 

 

Evaluation Criteria 

Proposals will be evaluated based on innovation, quality, team capacity/expertise, and creativity of proposed services and budget/value for money.
